|The Contracts Assistant is responsible for supporting the Federal Acquisition Activity Department (FAAD) with federal contract deliverables and will be assisting with travel arrangements for FAAD as well as the Grants and Contracts Department. |
|-Responsible for the prompt delivery of federal contract deliverables.|
-Collect, track and monitor contract deliverables.
-Develop contract deliverable templates based on award terms and conditions and disseminate as needed to employees, subcontractors, vendors, and consultants.
-Review deliverables for grammar, content, and completeness based on award requirements.
-Submit contract deliverables in accordance with contract and sponsor terms and conditions.
-Update SharePoint lists and libraries as needed.
-Setup deliverable requirements in SharePoint upon contract/task order award.
-Monitor and report to Director of Federal Acquisition Activity on a quarterly basis regarding deliverable submissions, to include data on late submissions.
-Assist with the development of Federal Acquisition Activity Department SOPs.
-Participate in special projects as required.
-Develop Travel Budget Estimates for study related travel and provide backup documentation as requested.
-Draft required travel documents for the Travel Administrator based on award and process requirements.
-Monitor and report outstanding Travel Expense Reports to the Grants and Contracts and Federal Acquisition Activity teams on a bi-monthly basis.
-Assist the Travel Administrator with processing Travel Expense Reports and obtaining the necessary approvals.
-Provide support for the Scientific Advisory Board as necessary.
-Support travel arrangements for the Federal Acquisition Activity Department and document all purchases and arrangements made in SharePoint.
-Provide back up support for the Travel Administrator position as needed, to include support of the Afterhours Travel Support Line.
|-Bachelor's degree or equivalent work experience|
-Knowledge of military process and procedural knowledge
-Customer service and travel related experience preferred
-Intermediate to advanced skills in MS Office, including Excel, Word and PowerPoint
-Advanced grammar and technical writing skills
-Ability to work independently and proactively
